St. Mary Parish Financial Council (PFC)

Minutes for April 29, 2021

    Prior PFC Minutes

    • The prior PFC minutes were approved.

     

    Georgia Property

    • The Georgia property owned by the church was sold for $3,100. Maxheimer was instrumental in the sale.

     

    PFC members

    • The term of a PFC member is three years. Ms. Lawson, Ms. Maile and Ms. Wilson are in the final year of their term and are slated to rotate off the PFC at the end fiscal year 2021.
    • Father Collins has requested Ms. Lawson to remain on the PFC for an additional two-year period because she is a member of the LTPC. Ms. Lawson has agreed to the request.
    • Father Collins has spoken to three parishioners regarding becoming a member of the PFC. To date, Jim Bready and John Goergen have agreed to join the PFC.  Bready is a past member of the PFC.

     

    Long Term Planning Committee

    • The LTPC has met one time and, at this time, does not have much to report. They plan to meet next week to develop a timeline.
    • Edwards spoke about the LTPC at the most recent town hall meeting.
    • Father Collins wants to meet with the Parish Pastoral Council (PPC), PFC and LTPC to discuss potential plans.
    • The LTPC is reviewing the space study which was developed by Mike Thomas in 2018.

     

    St. Mary’s School (SMS)

    • SMS qualified for a $139,233 grant which was based on poverty level. Grant funds can be used for technology, transportation, facility and deferred maintenance.  Frye developed a budget regarding the use of the funds; the budget must be evaluated by the state.  In certain cases, the funds can be used to reimburse previous expenses.  In some cases, the state will pay the vendors directly.  Additional work is needed to complete the grant process.
    • Frye will find out if SMS will qualify for the school lunch program.
    • There is an enrollment weekend scheduled for the school in May.

     

     Maintenance issues

    • The fire panel has been replaced by Fleenor.
    • The gutters on the church have been cleaned. They must be maintained on a regular schedule.
    • An area in the front of the school is in disrepair because of water collection. It has been looked at and we are awaiting estimates and potential solutions. A determination will be made regarding the source of the funding for the solution to this issue.
    • Some lights at the school do not work because of the water situation.
    • There is a problem with tree roots, water and mud at the front of the school when it rains.

     

    Parish budget

    • Father Collins is working with Ms. Raible on the fiscal year 2022 budget. He is meeting with all parish employees regarding their budgets and will meet individually with Stephanie Mann and Pat Marek about their budgets.
    • Father Collins worked with Ms. Frye on the school budget. It is mostly complete.
    • The parish is waiting for some numbers for the budget from the diocese.
    • The budget will be presented to the PFC on June 24, 2021.

     

    Third Quarter Financial Statements

    • Funds received by the diocese for the PPP have not been provided to St. Mary’s and are not reflected on the third quarter financial statements.
    • A question was asked as to why sub-account 4151 was so large. It was explained that there have been some generous donors who have stepped up and donated more during the past year.  In the case of larger donations, Father Collins is notified and a letter is sent to the donor.
    • A question was asked as to why there was no money received by the parish from the home and school association. No one was sure why the money has not yet been received. 
    • A question was asked regarding the difference in the school revenue between the budgeted and actual amounts. It was explained the difference was due to the budget including eight more students than actual, more tuition assistance provided than expected and the budgeted amounts may have been overstated.
    • A discussion of the number of students at the school ensued. The largest class was second grade at 22 students and the prior year had two eighth grade classes.  It was also noted that it would be helpful if there were more students enrolled in the preschool.

     

    Miscellaneous

    • Andrew Cooper has been hired as the parish development director.  Mr. Cooper is currently a teacher and will begin his new role in June.  Mr. Cooper is bilingual.  As a result of his new role, he will attend the PFC meetings.
    • There has been discussion of placing a statue on the parish property. There is a 33” statue of Our Lady of Guadalupe in Louisville for $200.  Shipping costs are prohibitive and it would have to be picked up.
    • The parish has storage problems.
    • A transfer of money to the Funds Held in Trust is being considered.

     

  • Upcoming parish events

    • There is a shred day open to the parish on the first Saturday in June from 9 a.m. until noon.
    • The Family Fun Fest is this weekend.
    • The Parish Homecoming is scheduled for September 12, 2021 and will include a bi-lingual mass.
    • The Octoberfest celebration is scheduled for October 2, 2021.
    • The Rosary is being said on the 13th day of each month from May 2021 to October 2021for those affected by COVID.
